The WhatsApp resident assistant is an AI helper that answers questions residents send to the management's WhatsApp line at any time of day, drawing each answer from the records for that resident's own unit. In Çözüm Hanem the resident is recognized by phone number; they can ask about their balance, request a receipt, get a payment link, report a fault, and read announcements and board resolutions. Before any transaction that creates a payment or a commitment, the assistant shows a summary and asks for confirmation, and hands anything it cannot resolve to an authorized member of the management team.

Picture a 240-unit residential compound. In the first week of every month, the property manager's phone rings dozens of times with the same questions: "What was the IBAN again?", "How much do I owe this month?", "Could you send last month's receipt?", "When is the general assembly?" The answers to all of these are already stored in the system. The problem is that digging each answer out of the system and typing it up one by one eats the manager's whole day. In this article we explain what a resident assistant on WhatsApp does, where it stops, and how it protects personal data.

Why aren't WhatsApp groups enough for property management?

In most residential compounds and apartment buildings, communication starts in a WhatsApp group. It's handy for announcements, but once management work moves into the group, three problems quickly surface.

  • No records are kept. The message "The elevator is broken again" gets lost among a hundred messages. There is no telling who reported what and when, who it was forwarded to, or when it was closed. The same fault is written three times by three people, and not one of them is logged.
  • Personal data is exposed to everyone. A debtor list posted to the group sends unit numbers and phone numbers to every member's phone. Article 12 of Personal Data Protection Law No. 6698 (KVKK) obliges the data controller to take appropriate security measures to prevent unlawful access to data. Sharing debt information in a crowded group is incompatible with that obligation.
  • Personal questions can't be asked. Nobody wants to ask "How many months do I owe?" in front of their neighbors. So questions get diverted to the manager's personal number, and the manager ends up answering after hours too.

The group doesn't have to be shut down completely. It can stay for neighbors chatting among themselves. Management-related matters — debts, payments, faults and official announcements — should move to a channel that keeps records.

How does the WhatsApp resident assistant work?

From the resident's side, it feels like an ordinary WhatsApp chat. Behind the scenes, identity and permissions are verified at every step.

  1. The resident writes. They send an ordinary message to the management's WhatsApp number. No app to download, no password to enter.
  2. The number is recognized. The system compares the phone number the message comes from against registered contacts. If the number doesn't belong to a resident, the assistant gives no information; it asks them to save the number to their profile or contact management.
  3. Scope is defined. For a recognized resident, the assistant can only access information about the unit they are currently linked to and records assigned to them. A former tenant who has moved out cannot see the debt of their old unit.
  4. Answers come from your records. The assistant understands the message, decides which information is needed and writes the answer from the current records in the system. Amounts, dates and receipt numbers come from the records.
  5. Confirmation for important actions. Before actions such as starting a card payment, booking a facility or submitting a meter reading, the assistant shows a summary. "Yes" and "No" buttons appear in WhatsApp, and the action is carried out only if the resident confirms.
  6. Handed to a person when needed. If a resident wants to speak to a representative, the conversation is transferred to the management's support staff. Staff see who is writing, from which unit and a summary of the topic, and continue the conversation from the management panel.

If the manager wants, they can switch the assistant off in a given conversation and reply to the resident directly. The resident stays in the same WhatsApp chat; the only thing that changes is who is answering.

Sample conversation: how does a maintenance-fee question unfold?

The conversation below is a typical mid-month exchange with a resident living in unit 12, Block B. Amounts are examples.

  • Resident: Hi, how much do I owe this month?
  • Assistant: Hello. Your unit, Block B No. 12, has 2 open items: 1) October 2026 maintenance fee ₺1,850, due October 15, overdue. 2) Elevator renovation share ₺640, due October 31. Total ₺2,490.
  • Resident: I'd like to pay both by card.
  • Assistant: For Block B, unit 12, 2 items totaling ₺2,490 will be paid by card and I'll send you a secure payment link. Do you confirm? [Yes] [No]
  • Resident: Yes.
  • Assistant: Your payment link is ready. Please don't type your card details into this chat; payment is completed on the secure payment page with 3D Secure verification.
  • Resident: I've paid — has it gone through?
  • Assistant: Your payment has been received and both items are closed. I'm sending your receipt as a PDF.

The second example is a fault report. The resident first sends a photo of under the kitchen cabinet, then writes:

  • Resident: Water is leaking from under the sink in the kitchen.
  • Assistant: I've opened a maintenance request for your unit titled "Water leak under the kitchen sink" and attached the photo you sent. You can check its status here anytime.
  • Resident: Is someone coming to take a look?
  • Assistant: Your request has been assigned to a technician by the management. Once a visit is scheduled, the date will appear on this request; I can also add a note to it if you like.

What can the resident assistant do?

Everything the assistant does is simply the chat-based version of an action that already exists in the resident's web panel and mobile app in Çözüm Hanem. The table below summarizes the most common requests.

The resident's requestWhat the assistant does
"How much do I owe?"Lists open maintenance fees and debt items with the remaining amount and due date; on request, it generates the unit's account statement.
"What did I pay last month?"Shows payment history with date, amount and receipt number, and explains which debts a payment has settled.
"Could you send me my receipt?"Sends the receipt for a completed payment to the chat as a PDF.
"I'd like to pay by card."After confirmation, sends a secure payment link for the selected charges, then checks whether the payment has been completed.
"How do I pay by bank transfer?"Provides the management's bank account details (bank, IBAN, account holder) and the management office's contact information.
"The tap is leaking."Opens a fault or request record and attaches the photo sent; notifies the resident of the request status, the management's response and the scheduled visit.
"Are there any new announcements?"Lists the compound's latest announcements and upcoming meetings, maintenance and events on the calendar.
"Was the maintenance fee increase approved at the general assembly?"Shows decisions published in the Decision Book, voting results, and the dates and agendas of meetings.
"What's our budget this year, and where was it spent?"Summarizes the compound's operating budget, expenses and each resident's share of those items.
"Is the pool free tomorrow?"Shows available time slots for shared amenities, books with confirmation and sends a QR code for entry.
"My water meter reads 1234."Records a meter reading submitted by the resident for their own unit after confirmation; it will not accept a value lower than the previous reading.
"I'd like to speak to someone in charge."Hands the conversation over to the management's support staff and reports the status to the next in line.

Features such as reservations, utility meters or shared amenities work only if the relevant module is active on your compound. On a site that starts with just accounting and communication, the assistant focuses on balance, payment, receipt, request and announcement questions. For the other resident-facing channels, see the resident solutions page.

Security and KVKK: What data can the assistant access?

Exposing debt and payment information to an AI assistant is the question managers ask most often. In Çözüm Hanem, the limits are not left to the assistant's good intentions — they are enforced by the system on every query.

  • Their own data only: The assistant cannot go beyond the unit the resident is linked to and the records assigned to them. It cannot query another unit's balance, a neighbor's phone number or the management's internal documents.
  • Number matching: Identity is established when the WhatsApp number the message comes from matches a number registered in the system. No personal information is given to an unregistered number.
  • Line scope: if a residential compound uses its own WhatsApp number, messages to that number are processed only within that compound's data. Someone writing to Compound A's line cannot reach records for Compound C of the same company.
  • Card details never enter the chat: Payment is always made on the secure payment page with 3D Secure. The infrastructure is iyzico, licensed by the TCMB, and Çözüm Hanem does not store card numbers.
  • Documents go to their owner: files such as receipts or invoices are sent only through the resident's own payment or a record they can access.
  • Record keeping: Conversations are stored in the management panel. When there is a complaint or dispute, you can look back and see who asked what and which answer was given.

Under the KVKK, management also has a duty: as the party processing personal data, it must inform residents about this channel (KVKK Art. 10, the obligation to inform). When announcing the assistant line, a short text explaining which information is shared through this channel is a good starting point.

What does the manager gain from this assistant?

The biggest gain is eliminating the burden of answering the same question over and over. Questions whose answers already live in the system — the IBAN, the amount owed, a receipt, a meeting date, common-area opening hours — are handled by the assistant. The manager is left only with matters that genuinely require human judgement: a dispute, a request for a payment plan, a disagreement between neighbours.

The second benefit is order. Every fault reported via WhatsApp becomes a request record, its photo is attached to the request, and its status is tracked. At month end, the answer to "which faults were reported this month" is not hunted for in message history but visible in the request list. On the collection side, sending the payment link right after the balance question reduces the opportunity to postpone payment. For the legal process on overdue maintenance fees, see our guide to collecting overdue maintenance fees, and for how card payments work, see our article on online maintenance-fee collection.

The third benefit is that the manager's personal phone stops being the management hotline. Residents get an answer when they write at midnight, and in the morning the manager sees only the conversations handed over on the support screen.

How do you get started with the WhatsApp assistant in Çözüm Hanem?

  1. Fix phone numbers. Because the assistant recognizes residents by their number, mobile numbers in resident records must be up to date. Your existing list can be imported in bulk with the Excel template.
  2. Set up the line. Your property-management company or residential compound can connect its own WhatsApp Business number to the system. The connected line both receives assistant messages and, if you wish, sends debt reminders and announcement notifications from the same number. This requires an approved WhatsApp Business account on Meta's side; the Çözüm Hanem team supports you through the connection steps.
  3. Set up your support staff. Decide who receives a request when a resident asks to speak to a representative. The first staff member to pick up the request takes over the conversation.
  4. Announce it to residents. Share the number, what can be asked and how personal data is processed in a short announcement.
  5. Monitor the first few weeks. Review the conversation history in the management panel to see which questions come in, and fill in frequently asked information that is missing from the system (for example, common-area rules).

Summary

  • The WhatsApp resident assistant answers questions sent to the management line day or night, using the records for that resident's own unit.
  • Residents are identified by their phone number and see only their own data; no information is given to unregistered numbers.
  • Actions such as payments and reservations are never carried out without an "Yes / No" confirmation; card details are never typed into the chat.
  • Unresolved issues are handed over to the management's support staff, and all conversations are stored in the panel.
  • The management or compound can connect its own WhatsApp Business number; messages arriving on that line are processed only within that scope.
