Çözüm Hanem is a cloud-based building and property management platform where residential compound and apartment building managers handle maintenance fees, collections, expenses, utility meters, requests and resident communication in one place. It is developed and operated by Akıl Yapay Zeka ve Yazılım Teknolojileri A.Ş. (Akıl Yazılım), headquartered in Gaziantep. It is designed for a wide range of users — from a unit owner managing a single apartment building to professional property-management companies running dozens of residential compounds, and from residents to shopping mall operators.
On this page we've brought together what Çözüm Hanem is, which tasks it takes on, who it suits and how to get started. We've ordered the sections around the questions a property manager asks before deciding.

What problems does Çözüm Hanem solve?
Problems in building management rarely stem from a single task; they arise when interconnected work is kept in separate tools. The dues list lives in a spreadsheet, bank transactions in the bank's app, receipts in a folder, announcements in a WhatsApp group, and board decisions in a paper notebook. At the end of the month, it falls to the manager to piece it all together. Here are the main tasks Çözüm Hanem takes on:
- Calculating fees by hand every month: billing is generated automatically on a rule-based, recurring basis; the operating budget approved at the general meeting forms the basis of each charge.
- Not being able to tell whose transfer it is: bank transactions are pulled automatically and suggested for matching to the relevant unit based on the description, amount, IBAN and sender details.
- Allocating water, gas and electricity bills: Readings from the master meter and unit meters are automatically allocated, including the common-area share, and charged to the ledger.
- "How much do I owe?" questions piling up on the manager: the resident app and WhatsApp assistant show each resident their balance, receipt and announcements directly.
- Commingled funds in multi-site portfolios: Each residential compound keeps its own ledger; permissions are granted at compound, building and unit level, and every action is recorded in the audit trail.
A concrete example: imagine a 160-unit compound where 90 bank transfers arrive at the start of the month. Some descriptions have no unit number, and some are two months' payment. Çözüm Hanem suggests matches for these transactions against the relevant outstanding balances on the "Bulk Match" screen; when the manager approves, the balance is settled and a receipt is generated. Pending matches also appear as alerts, so no payment slips through before the month is closed.
Which modules does Çözüm Hanem include?
Modules open according to how the system is set up. The manager of a single residential compound doesn't see dealer-network screens, and a shopping mall operator doesn't wrestle with settings specific to housing. The structure has four levels: Branch/Dealer, Compound, Building and Unit. The main module groups are:
| Module group | What's included |
|---|---|
| Finance and accounting | Automated and bulk maintenance fee billing, operating budget, late fee policies (fixed or percentage-based, grace period, cap), collections hub (cash, bank transfer/EFT, online card, receipt), supplier invoices and expense allocation, non-fee income (parking, cell tower, shared-area rent), cash and bank accounts |
| Reporting and decisions | Trial balance, current account statements, debt aging, PDF and Excel export; a Decision Book module where board resolutions are recorded and can be shown to residents |
| Banking and online collection | Automatic pulling of bank transactions, match suggestions and manager approval, card payments for maintenance fees with 3D Secure |
| Meters and consumption | Water, gas and electricity master meters plus unit and shop meters, 3-step bulk reading, Excel reading upload, automatic allocation and allocation history |
| Operations | 13-step compound and building setup wizard, visual block and unit map, owner and tenant separation, vendor management, requests, faults and work orders, fixed assets and inventory, legal and enforcement case files |
| Contact | Bulk announcements and payment reminders via SMS, email, Telegram and app notifications; AI-powered resident assistant on WhatsApp |
| Smart building (optional) | Elevator call, door and garage opening, emergency notifications, sensor alarms, camera |
A screen-by-screen walkthrough of the modules is on the features page.
How does a billing cycle run in Çözüm Hanem?
- The operating budget approved by the owners' assembly is entered into the system.
- The billing rule is defined once; the monthly maintenance fee is generated automatically each period.
- Announcements and balance notifications are sent to residents.
- Residents pay by card or bank transfer; cash payments are taken at the collection desk with a receipt.
- Bank transactions are pulled, and match suggestions go to the manager for approval.
- A receipt is generated for the settled debt; the trial balance, current account statement and debt aging reports stay up to date.
- A defined late-payment interest policy is applied to non-payers, and where necessary legal and enforcement proceedings are initiated.
What does the WhatsApp assistant do?
From their registered phone number, residents can message the WhatsApp assistant to check their own balance, get receipts, find bank details for transfers, log a fault or request, and view board decisions. The assistant shows only information for that resident's own unit. Before actions such as sending a card payment link or booking a shared amenity, it asks the resident for explicit confirmation; anything it cannot resolve is handed over to the management's support staff.
Who is Çözüm Hanem suitable for?
The platform runs six different setups on the same infrastructure:
- Residential compound and apartment building management: Volunteer or professional property managers running their own community. Maintenance fees, meters, expenses, announcements and requests in a single dashboard.
- Professional building management companies: Each compound in the portfolio keeps separate books. The compound manager sees only their own compounds, while head office monitors everything.
- Dealer networks and franchise structures: each branch keeps its own ledger while head office monitors the whole network from a single dashboard.
- Residents: Pay maintenance fees by card, view balances and receipts, submit requests and report faults, receive announcements.
- Rentals and property owners: Track rental properties, tenants and rent collection separately from maintenance fees.
- Shopping malls and business centers: retail and office units, shared-expense allocation and distribution of store utility meters.
What's in the mobile apps?
Çözüm Hanem has three separate apps for iOS and Android. Each is streamlined around a different user's day:
- Manager app: Track billing, collections, requests and announcements from your phone.
- Resident app: Free for residents. Residents pay their maintenance fees by card, view their balances and receipts, submit requests and report faults, and receive announcements.
- Field app: Staff enter meter readings with a photo, close work orders and maintenance tasks, and keep visitor and security logs.
How do online payments and bank integration work?
Residents pay their maintenance fees and shared-expense balances by credit or debit card with 3D Secure verification. The payment infrastructure is provided by iyzico Ödeme Hizmetleri A.Ş., licensed by the TCMB (Central Bank of the Republic of Türkiye). Each management is registered as a separate sub-merchant with iyzico, so funds go directly to the relevant management's bank account. Card details are entered on iyzico's secure payment page, and Çözüm Hanem does not store card numbers. Payment is applied to the charge instantly, and the receipt appears in the resident's account.
For payments received by bank transfer and EFT, bank transactions are pulled automatically. Some banks connect directly, while others are connected through an integration infrastructure. Matching suggestions go through the manager's approval; we explained the details in our article on bank integration and service-charge reconciliation.
How do you get started with Çözüm Hanem?
Getting started splits into two paths depending on the size of the property:
| Way | Who it's for | How it works |
|---|---|---|
| Get Started | Compounds and apartment buildings with up to 500 units | An account is opened without waiting for a quote, paid by card and used right away |
| Quote | Compounds with more than 500 units, multi-compound property-management companies, reseller partner networks, shopping malls and business centers | We listen to your setup; pricing depends on the setup, the modules enabled and the number of units |
Small and mid-sized compounds can get started from the Get Started page; larger properties request a quote via the contact form. For quoted installations, setup and data migration support, training and support are included in the quote. On both paths, existing unit, person and debt data is migrated using an Excel template with support from our team; the 13-step setup wizard walks you through defining blocks, buildings and units in sequence.
What Çözüm Hanem is not
To set expectations correctly, let's also state the limits clearly:
- Don't think of it as a hardware-heavy smart building product. Elevator, door, sensor and camera integrations are optional. Hardware is not required; you can start with accounting and communication and add smart building services later.
- Not a payment institution. Card payments are processed through iyzico and the amount goes directly to the management's bank account.
- It should not be expected to replace your company's commercial accounting. The platform is designed for residential compound and building accounting. Plan to use it alongside the tools your accountant uses for the property-management company's own commercial books, e-invoicing and payroll and other statutory processes.
- It does not make decisions on behalf of the owners' association. Decisions such as approving the operating budget or appointing the manager are made by the association under Condominium Law No. 634. Çözüm Hanem helps record and implement these decisions; the obligation to keep a notarized decision book (Condominium Law art. 32) remains.
